1. Who we are

Stowbot (the iPhone app and the web app at my.stowbot.app) is provided by Intellisolve, LLC, a Georgia limited liability company and the seller on the App Store ("we", "us").

Contact: privacy@intellisolve.io, or by mail at Intellisolve, LLC (Stowbot), 1460 Bates Ct NE, Brookhaven, GA 30319, USA.

2. What we collect

  • Account and sign-in. Your email address and an account ID, handled by Google Firebase Authentication. At launch you sign in with email and password only. To keep you signed in, the app stores a sign-in token on your device (see section 3).
  • Your inventory. What you add: rooms, bins (or shelves), item names, categories, descriptions, brand, model and part numbers, barcodes (UPC or ISBN), book titles and authors, quantities, estimated values, notes and QR bin labels. On the free plan your account is individual. If you later subscribe, you can invite household members; then we also store household name, member emails and roles.
  • Photos. When you scan a photo, we keep a small, reduced-size copy (a thumbnail) with the items it found, stored privately in Google Cloud in the United States. The full-size photo is used only for the AI scan (section 4) and isn't kept. We remove location (GPS) and other camera details from photos before they're stored or sent for scanning.
  • AI image recognition usage. How many AI photo scans you've used each day and month, so we can apply the free and paid plan limits. We count only AI image recognition calls, not bins or shelves. Daily counts reset at your local midnight and monthly counts on the 1st of your local month.
  • If you subscribe. Stowbot is free at launch. If you later buy a subscription in the app, Apple handles payment and sends us a record of the purchase (such as the transaction ID, product, dates and status). We never receive your card or bank details.
  • Usage analytics and crash reports. We use an analytics and crash-reporting service to learn how the app is used and to fix crashes. We send only a fixed list of events (such as "bin created", "label printed" or "photo scanned") and counts, plus error codes. We never send item, bin or room names, notes, photos, search text, emails, estimated values or your account ID, and we don't turn on advertising features. You can turn this off at any time with the Share usage and crash data switch on the Household screen.
  • Ad measurement. If we advertise Stowbot, we may use ad-measurement tools to learn which of our ads led to installs. These report results at campaign level only. They don't use your device's advertising identifier and don't track you across other companies' apps or websites.
  • Server logs. IP address, device and app version, and error details when the app talks to our servers.

We don't access your device's advertising identifier, we don't track you across other companies' apps or websites, we don't sell your information, and we don't show ads in the app.

3. On your device

The app stores only a few things on your device:

  • your sign-in token, so you stay signed in;
  • a copy of the app's own files (screens, styles and icons), so it opens quickly;
  • your Share usage and crash data setting; and
  • if usage sharing is on, a random analytics ID that isn't linked to your account.

Your inventory and photos are not saved on your device. They load from our servers each time, so you need a connection to see them. Signing out removes your sign-in token. Deleting the app removes what's stored on your device, but it does not delete your account or cancel a subscription.

4. AI suggestions (Google Gemini)

When you scan a photo, we send that photo to Google's Gemini model on Vertex AI, a paid Google Cloud service, through our own Google Cloud project. Google may process the photo outside the United States while it reads it, and the photo isn't stored there. This lets the model suggest item details. You review suggestions before they're saved. We don't send your name, email or account ID with the photo. Under Google Cloud's terms, Google does not use your photos to train its AI models. Google may keep a prompt for a limited time only if its safety systems flag possible abuse.

5. Who can see your information

  • You (and your household, if you share). On the free plan, only you see your inventory. There is no "Share with family" on the free plan. If you subscribe and invite household members, everything in that household's inventory is visible to its signed-in members. There are no public pages; a bin's QR code opens sign-in.
  • Service providers. Google (cloud hosting, sign-in, database, analytics and crash reporting, and Gemini AI on Vertex AI), Apple (App Store, and payments if you subscribe), and ad-measurement providers if we advertise. They process data only to provide their services to us.
  • Our staff. Admins can view a household's data only for support or troubleshooting, must give a reason, and every access is logged.
  • Legal reasons or a transfer. If the law requires it, or if Stowbot is transferred to another company.

Totals across accounts. We use analytics and totals across all accounts, such as the number of bins or items, to check that Stowbot works as intended and operates properly. These are counts only. They don't identify you or show what you own.

6. How long we keep it

  • Account, inventory and photos: while your account exists, until you delete them or your account (section 7), or until inactivity deletion (below). We don't keep separate backup copies of your data.
  • Inactive free accounts: if you don't sign in to a free account for 12 months, we delete it and its data. We email you at 11 months and again 2 weeks before deletion; signing in keeps the account. Paid accounts are never deleted for inactivity while the subscription is active; after a subscription ends, the free-account rule applies.
  • Daily and monthly scan counts: kept with your account and deleted with it.
  • Analytics data: up to 24 months. Crash reports: 90 days.
  • Server logs: 30 days.
  • Apple purchase records (if you subscribe): kept for 7 years after the purchase, for tax and accounting, even after account deletion.
  • After deletion: we keep a minimal record that an account was deleted (its account ID and dates, no email or inventory) so it can't be brought back by mistake, and our logs of staff support access. The audit copy of those logs is kept for 365 days; the copy in our database does not expire.

7. Deleting your account

You can delete your account in the app: Settings > Delete account. If you own a paid household with other members, the app asks you to hand it to another member or delete it for everyone; a member who isn't the owner removes only themselves. On the free plan there are no shared members, so deleting your account removes only your inventory.

Deletion is immediate and permanent. When you confirm, we delete your sign-in right away and then your inventory, photos and scan counts. It can't be undone. We don't keep backups of your data; our cloud provider's (Google's) short-term recovery copies expire on their own within 7 days after deletion. The only things kept are listed under "After deletion" and "Apple purchase records" in section 6.

If you subscribe: deleting your account does not cancel your Apple subscription. To stop being charged, cancel in your iPhone's Settings > [your name] > Subscriptions, or at https://apps.apple.com/account/subscriptions. Refunds go through Apple at https://reportaproblem.apple.com.

8. Adults only

Stowbot is for adults 18 and older, including anyone you later invite to a paid household. We don't knowingly collect information from anyone under 18, and we delete any such account we learn about.

9. Security

We use encryption in transit and at rest, require sign-in on every request, and limit staff access as described above. No system is perfectly secure.

10. Your choices

You can see, edit and delete your information in the app, turn off usage sharing, and email privacy@intellisolve.io to ask for a copy or anything else. Stowbot is available only in the United States at launch.

11. Governing law

This policy is governed by the laws of the State of Georgia, USA.

12. Changes

If we change this policy, we'll update the date above and tell you in the app about any important change.
